What does my new employee see when they onboard?

When you invite a new hire, they get an email with a Start my onboarding button. This guide walks through what they see after they select it, so you can help if they get stuck. They don't need a myaccountant account.

Verifying their email

Step 1. The page shows "Validating your invitation…" and then emails them a 6-digit code.

Step 2. On the Check your email screen, they type the code into Verification code. The code works for 10 minutes.

Step 3. They select Verify and continue.

If the code doesn't arrive or has run out, Resend code sends a new one. If they refresh the page, a new code is sent and they verify again. Their saved answers are not lost.

The five sections

After verifying, they see "Welcome to" followed by your business name, and a bar across the top showing five sections. Each section is saved when they select Continue, so they can stop and come back later using the same link. They can go back to any section they have already saved, but can't skip ahead.

Fields marked * are required.

Section What they enter
Personal details First name, last name, preferred name, date of birth (dd/mm/yyyy), Australian mobile, street address, apartment / unit, suburb, state and postcode.
TFN declaration Tax File Number, Residency status for tax, and switches for the tax-free threshold, a HELP / HECS debt, a Student Loan debt (SFSS / TSL / SSL) and the Seniors & Pensioners Tax Offset.
Superannuation Your choice: Use employer's default fund, I'll nominate an APRA-regulated fund, or I have a Self-Managed Super Fund (SMSF).
Bank account Account name, BSB (6 digits) and account number.
Emergency contact Contact name, relationship, phone, and an optional email.

TFN declaration

The TFN is optional on the form. If they don't have one yet, they leave it blank, and the form tells them the no-TFN rate will apply. Once saved, only the last three digits are shown.

Residency status for tax has three options: Australian resident for tax purposes, Foreign resident, or Working holiday maker (417 / 462).

Superannuation

  • Use employer's default fund needs nothing more.
  • I'll nominate an APRA-regulated fund asks for Fund name and Member number. USI is optional.
  • I have a Self-Managed Super Fund (SMSF) asks for SMSF name, ABN, BSB and Account number. Electronic Service Address is optional.

Submitting the form

Step 1. On Emergency contact, they select Save and review.

Step 2. They see All sections saved. They can go back to any section from the bar at the top.

Step 3. They select Submit to employer.

They then see Submitted, with a note that you have been notified. You get an email and the invitation shows Awaiting review. Once it's submitted, they can't change the form. If something needs fixing, you send it back to them. See How do I review and activate an onboarded employee?

If a detail is wrong when they submit, they see "Some details need fixing — we've taken you to the first one." The section with the problem is marked in red, and the message sits under the field.

When you ask for changes

If you select Request changes, they get an email with an Update my details button and a new link. The form opens with a box showing your note, and their earlier answers are already filled in. They fix the sections you mentioned and select Submit again.
