What are Workflows?¶
Workflows are guided pipelines that automate recurring accounting work. For the document workflows, the pattern is always the same: forward a document, review the extraction, post to your books. There are also guided workflows for onboarding a new employee, migrating payroll from another system and importing business data from a file.
Open Workflows in the sidebar to see the hub. Use the tabs — All, Business, Property, Personal, Payroll — to filter the cards by area, and click a card to open that workflow.

Workflows marked Active are ready to use.
Your forwarding inbox¶
The document workflows are driven by email. You get a unique, private forwarding address — anything you forward to it is picked up, extracted and matched to the right workflow.
Step 1. Go to Workflows and click Open your inbox settings (or open Workflows → Inbox directly).
Step 2. Under Your forwarding address, click Copy to copy your unique address. It looks like u.xxxxxxxx@inbox.myaccountant.com.au.
Step 3. Optionally, click Send a test email to verify the address is reachable.
Some workflows also have their own dedicated forwarding address, shown on that workflow's setup page — for example, each Business receipts and Rideshare workflow gets its own address, so anything sent there lands directly in that workflow.
Set up auto-forwarding once¶
Rather than forwarding each email by hand, set up a filter in your email so statements forward themselves:
- Gmail: go to Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address and add your myaccountant forwarding address, then create a filter (Settings → Filters and Blocked Addresses → Create a new filter) matching your property manager's or platform's sender address, with the action Forward it to your myaccountant address.
- Outlook: go to Settings → Mail → Rules → Add new rule, set the condition to the sender's address, and set the action to Forward to your myaccountant address.
New statements will then land in your workflow history without any extra clicks.
How a forwarded email reaches the right workflow¶
- Email sent to a workflow-specific address (from a workflow's setup page) always lands in that workflow's history.
- Email sent to your personal forwarding address is matched automatically — for example, a property-manager statement is matched to the right rental property.
- If a document can't be matched to a workflow automatically, it isn't lost — it appears as needing assignment so you can tell myaccountant where it belongs. See How do I automate rental statements?
If you think someone else has your address¶
Your forwarding address is private — anyone who has it can send documents into your account's workflows. If it leaks, click Rotate on the inbox page and confirm with Rotate address. The old address stops accepting mail immediately, so remember to update your Gmail/Outlook filter with the new address.
