How do I review payment app transactions?

Once Stripe, Square, PayPal or Shopify is connected, its sales, fees, refunds and payouts are brought into myaccountant and posted to your books. The Apps tab in Workflows is where you check that activity and deal with the lines that couldn't be posted for you.

To connect an app, see How do I connect an integration?

Open an app

Step 1. Go to Workflows and select the Apps tab.

Step 2. Select the app's card. Each card shows the app and how many businesses it's connected for, for example Stripe — Connected for 2 businesses. A card shows Expired if a connection needs reconnecting, and a red number if something needs your attention.

Step 3. If the app is connected for more than one business, choose the business from the list at the top of the page.

The top of the page

  • Connection. The app's account name, Connected or Expired, when it Last synced, and Books complete to — the date your books are complete up to for this app. Select Sync now to fetch the latest activity. If the last sync failed, the reason and the next retry time are shown, and the button reads Retry now. If access has expired, use Reconnect in Settings → Integrations.
  • Balance check. What the app owes you (or you owe it), and the line balance + payouts on their way = books. A tick means your books agree with the app. If they don't, the difference is shown with the Payouts not yet received in your bank feed, which usually explain it.
  • Things that need you. An amber strip links to transactions need you and payouts not received when there are any. Alerts are listed under it. Turn on Show resolved to see past ones.

Transactions

The Transactions tab lists every movement from the app: Date, Type, Reference, Gross, Fee, Net and Status.

Status What it means What to do
Posted It's in your books. Nothing.
Waiting Imported and waiting to be posted. Sales and fees are posted as one entry per day. Nothing — it posts on its own.
Needs action It couldn't be posted for you. The reason is in Held reason on the line. Post it yourself, or mark it recorded by hand.
Non-AUD It isn't in Australian dollars, so it isn't posted. Record it yourself, then mark it recorded by hand.
Not posted It deliberately has no effect on your books — for example a payout that failed and came back. Nothing.
Recorded by hand You've said you recorded it yourself. Nothing. Select Un-mark to undo.

Filter the list

The list shows the Last 30 days to start with. You can:

  • type in Search id, reference or description
  • pick a date range: Last 7 days, Last 30 days, Last 90 days, This month, Last month, This financial year or Custom range
  • show All, Needs action, Posted or Not posted
  • choose a Type: Sales, Refunds, Fees, Chargebacks, Payouts or Other
  • set a Min amount ($) or Max amount ($)

Select Clear filters to go back to the start.

See a line's details

Select a line to open its details: the date, status, Held reason, reference, the app's own id (Provider id), currency, gross, Fee ex GST, GST on fee, net, payout and journal. If it's posted, Entries in your books links to each income, expense or payment entry on the Business page.

Post a line that needs action

Step 1. Open the line and select Post….

Step 2. Choose an Account. Bank, GST, receivables and payables accounts aren't offered, and nor are the app's own accounts.

Step 3. If you chose an income or expense account, check the GST: GST on the full amount (1/11) or No GST. A business that isn't registered for GST posts without it.

Step 4. Select Post 1 line.

Posting here doesn't record money reaching your bank. Record that by categorising the deposit in your bank feed.

Some Square and Shopify sales weren't paid through the app itself, for example a sale paid another way. For these, Post… asks Choose where the money went. They are posted as sales to that account, and the app's own account isn't touched.

To undo a line you posted yourself, open it and select Undo posting.

Work on many lines at once

Step 1. Tick the lines. Only Needs action and Non-AUD lines have a tick box. The box in the heading ticks all of them on the page. Your ticks stay as you change pages or filters.

Step 2. Select Post… to post them all to one account, or Recorded by hand. Select Clear to untick them.

You can act on up to 100 lines at a time. Each line is posted on its own, so you can undo one without the others. If Post… isn't available, the reason is shown under the buttons:

What you see What to do
Only AUD lines that need action can be posted. Mark the others as recorded by hand instead. Untick the Non-AUD lines, or use Recorded by hand.
These lines include money in and money out, so they can't go to one account together. Post them in two goes. Post the money in and the money out separately.
These lines need different kinds of account. Post sales not paid through the app separately from the other lines.
Select up to 100 lines at a time. Untick some lines.

A message then shows how many lines went through and the reason for each one that failed. Failed lines stay ticked so you can try again.

Payouts

The Payouts tab (Withdrawals for PayPal) lists each payout: Sent, Arrives, Payout ref, Amount and Bank status — for example Received with the date and bank account, Pending, On its way or Not in bank feed.

For a payout that hasn't been matched, select Find deposit to see bank deposits that could be it. Select Open in bank feed to go to one. If the deposit was categorised as something else, select Change to and the app's name to record it as the payout instead.

Settings

Select Settings to see the app's Ledger accounts, GST on sales, GST on the app's fees, and Import and post from (the start date). Opening balance on the day before the start date is what the app owed this business then. It's worked out from the app where possible. You can type it in and select Save; if you do, Work it out for me goes back to the app's figure. Disconnect stops importing for this business. What's already posted stays in your books.

If you can't make changes for this business, the tick boxes and the post and record buttons don't appear.
