How do I choose who can send to my Mailbox?¶
Your Mailbox only processes documents from people you trust. Documents from anyone else are held as Blocked sender until you approve them. Use this guide to add the other addresses you forward from, and to deal with a blocked document.
Who is always allowed¶
These senders never need adding:
- you, from the email address you sign in to myaccountant with
- team members on businesses you own who have the Workflows permission, from the address they sign in with
Anyone else needs to be on your list of allowed senders. That includes your own personal email if it is not the address you sign in with.
Add allowed senders¶
Step 1. Select Workflows in the sidebar, then the Mailbox tab.
Step 2. Under Your Mailbox address, select Manage allowed senders. Next to the button you can see how many you have, for example 2 extra allowed senders.
Step 3. In Email addresses (one per line), type each address on its own line. You can also separate them with commas.
Step 4. Select Save. You see Allowed senders saved.
To remove a sender, delete their line and select Save.
The match is on the whole email address, so add the exact address the email comes from. Capital letters don't matter.
If the list won't save¶
| What you see | What it means | What to do |
|---|---|---|
| "name@example" is not a valid email address. | One line is not a complete email address. | Fix or delete that line, then select Save. |
| You can add at most 50 allowed senders. | You can have up to 50 extra senders. | Remove addresses you no longer forward from. |
Approve a blocked sender¶
When a document arrives from an address that is not allowed, it appears in the list with the status Blocked sender. Nothing is read or posted. The Blocked sender filter shows a count when any are waiting, and the Mailbox card on the All tab includes them in its need attention badge.
Step 1. On the Mailbox tab, select the Blocked sender filter.
Step 2. Check the sender in the Email column. Select the row to see the subject, sender and the start of the email in Document details.
Step 3. If you trust the sender, open the row's More actions menu and select Approve sender.
The sender is added to your allowed senders, and every document held from them is processed straight away. A message shows what happened, for example 2 processed · 1 left to allocate.
If you don't recognise the sender, don't approve them. Open the More actions menu, select Discard, then confirm with Discard. The document is removed from your Mailbox and won't be processed.
Note
A test email sent with Send a test email is always accepted, whoever it appears to come from. It is never blocked.
