What does Caia do each day?

Each morning Caia runs once for every business where it is switched on. The run starts from about 6am (Sydney time). A business switched on after that time gets its run the same day.

What a run does

  1. Fetches new bank lines. Caia asks each connected bank account for the last two weeks of lines. Lines it already has are skipped, so a bank that posts late is caught the next day. Lines from uploaded CSV files and manual accounts are counted too.
  2. Sorts the new lines. For each line Caia tries these steps in order, and stops at the first answer it can rely on: matching an invoice, bill or receipt; wages, super and ATO payments; your own rules; suppliers you have approved; the history of the supplier; what Caia knows about the business; and last, an AI suggestion. Then Caia works out the GST and either posts the line or sets it aside under Needs you.
  3. Works through the backlog. Older lines are sorted a batch at a time. See What happens to bank lines from before Caia was switched on?

  5. Writes a summary. Each finished run adds a message to your notifications, and the daily summary email goes out if you have turned it on.

Last run

The Last run card on the Caia page shows the date of the most recent run and what happened. You may see:

  • Waiting to start, Still working or Finished
  • Couldn't finish. Caia tries again the next day, and anything it fetched is in the next summary.
  • Skipped, when Caia did not run that day
  • Couldn't tell who Caia acts for, when the business's owner has changed

Under the status, Caia says either Your books passed the last overnight check. or how many things still need you.

If the card says Caia hasn't run yet, the first run has not happened.

The daily summary email

You can ask Caia to email you a summary each morning.

  • Turn on Email me Caia's daily summary in the Daily summary card on the Caia page. Only the business owner can turn it on.
  • Emails arrive from 7am (Sydney time). If you turn it on, or Caia starts, before 7am, your first summary comes that day. After 7am, it starts the next day.
  • One email covers every business Caia ran for you that day.
  • The summary gives counts only, such as new bank lines, lines Caia sorted, lines that need you, and lines waiting for your review. It does not include dollar amounts.
