How does Caia's AI allowance work?

Caia uses AI for a few tasks: suggesting an account for a bank line that nothing else could place, suggesting GST special cases for your kind of business, and writing some explanations in Caia's check of your books. Each business on Caia has a monthly allowance of AI work to cover this.

Lines Caia can sort without AI, such as matches, your rules and the supplier's history, do not use the allowance.

See your allowance

The Caia page shows how much of this month's allowance has been used, as an amount out of the whole allowance for the month. The figures are for that business.

How it works

  • Measured in Australian dollars. Each AI call uses a little of the allowance.
  • Resets each month. The allowance resets at the start of each Sydney calendar month. Unused allowance does not carry over.
  • The first month is part of a month. If you start Caia part way through a month, the first allowance is worked out from the number of days left in that month, counting the day you start.
  • Used up first, soonest to expire. When you have top-up credit as well as the monthly allowance, Caia uses the credit that expires soonest first.

When the allowance runs out

When the allowance is used up, Caia cannot make more AI calls until the allowance is refreshed or topped up.

  • Lines that needed AI are set aside under Needs you, with the sentence Caia couldn't find enough to be sure what this is.
  • Lines that the rules, matches and history can sort are still sorted.
  • Backlog lines that need AI are left as they are, and the next run tries them again.
  • Caia does not make a call it cannot pay for, and it does not store a half-finished suggestion.

Buy a top-up

If you need more AI work during the month, you can buy a top-up pack.

Step 1. Go to Settings → Billing, and find the Caia section.

Step 2. Select the button that reads Buy followed by the amount of AI work in the pack, and ending of AI work. The price of the pack is shown beneath it, including GST.

Step 3. Complete the checkout.

Top-ups are:

  • available straight away once paid,
  • one-off, not refundable,
  • valid until the end of the Sydney month you bought them in.

A top-up cannot be bought while the Caia plan is set to cancel, or while its payment is overdue. The Caia section tells you what to do in either case.

An accountant buying for a client's business does it from that client's row in Settings → Billing.
