How does Caia decide GST on my transactions?¶
For each bank line, Caia works down the list below and uses the first answer it can rely on. Caia records which step decided each line.
- The document. If the line is matched to an invoice, bill or receipt, the GST on that document is used.
- Your books. Caia uses, in this order:
- your own rule for the supplier, or the treatment of a supplier you have approved,
- the default treatment set on the supplier's contact, if there is one. A supplier set to Check each time is asked about on each line,
- the GST used for that supplier in the last 12 months. If it is all one treatment, Caia uses it. If it is a mix, that is a conflict, and the line is set aside.
- The Australian Business Register. For money out to a supplier: if the supplier was not registered for GST on the date of the line, or has no ABN, the line is treated as GST-free. If your books say GST is included but the register says the supplier was not registered, the line goes to Needs you. Caia checks a supplier again when its last check is more than 90 days old.
- Accounts that never carry GST. Bank charges, wages, super, interest, income tax, government charges, and any account that is not part of profit and loss.
- Special cases you have approved. GST-free and input-taxed cases are applied. Check each time and Estimate cases cannot be worked out from a bank line, so those lines are asked about.
- The AI's answer. Used only when the AI has chosen the account. A GST-free answer is used for money out. For money in, or when the AI is not sure, the line goes to Needs you with the sentence Check the GST.
- The default. GST is included. The line is posted under Done — please review, never under Done by your rules, so you can check it.
Business not registered for GST¶
If the business is not registered for GST, Caia does not ask for a GST treatment. Lines are posted as GST-free.
Changing a GST answer¶
If Caia gets the GST wrong, use Change on the group under Done — please review, or answer the question under Needs you. See How do I review and approve Caia's work?
Choosing Do this every time teaches Caia the supplier's treatment for future lines, unless the GST changes from purchase to purchase.
