How do I review and approve Caia's work?¶

Caia groups lines by supplier and treatment. Select a group on the Caia page to open it. The window shows the supplier, what Caia says about the group, the amounts, the account and GST, and each line with its date and amount.

Looks right¶

Looks right appears on groups in Done — please review. Select it when the group is correct. The lines move to Done by your rules, and Caia learns from your confirmation.

Change¶

Change appears on a group in Done — please review when it can be changed. It is not offered for a payment matched to an invoice or bill, or for a group that is already being re-posted.

Step 1. Select Change.

Step 2. Choose the type of the whole group: Expense, Income or Payment. Only the types that fit the lines are offered.

Step 3. Choose the Account. Only accounts of the right kind are listed.

Step 4. If the business is registered for GST, choose the GST Treatment: Includes GST or No GST. It is not asked for a payment.

Step 5. Tick Do this every time if it is offered and you want Caia to sort this supplier the same way from now on. If you have sorted this supplier differently before, Caia may still ask you about it.

Step 6. Select Sort these lines.

Caia re-posts the group. The result says how many lines were sorted. It also says if you changed a line yourself, so Caia left it as it is, or if a line is in a locked period, so it was skipped.

Undo¶

Undo group reverses the whole group. Select Yes, undo these lines to confirm. The lines go back to the Uncategorised tab on the bank account.
Undo beside a single line reverses that line only.

Lines in a locked period, or in a BAS period you have lodged, cannot be changed.

Do this every time¶

Choosing Do this every time tells Caia to sort that supplier the same way from now on, without asking. It is only offered where Caia can safely apply the same answer to the supplier's future purchases. It is not offered for GST that changes from purchase to purchase, for loan repayments, or for a line that could be booked twice.

When Caia is off or paused¶

When Caia is off, or paused because payment is overdue, you can still select Looks right and Undo on work it has already done. Change and the answer to a Needs you group are not available. Sort those lines on the Bank page instead.
