How do I match bank payments to invoices?¶
When a customer pays an invoice into a linked business bank account, you can match the incoming bank transaction to that invoice. Matching records the payment, updates the invoice's status, and keeps your books and reports accurate — no double-handling.
Step 1. Go to Bank, open the business account the payment arrived in, and click the Invoice Payments tab. (This tab only appears on Business accounts.)
Incoming payments that haven't been categorised yet are grouped into three sections:
- Auto-matched recently — payments myaccountant has already applied to an invoice in the last 24 hours. Once you've confirmed a few payments from the same customer, exact matches can be applied automatically. If one is wrong, click Undo — the transaction goes back to Uncategorised and the invoice returns to being owed.
- Ready to confirm — strong suggestions. Each shows the amount received, the suggested invoice and customer, and the invoice's balance. Click Confirm to apply the payment, or Not this one to dismiss the suggestion.
- Needs attention — incoming payments without a strong match, where you pick the invoice yourself.
Matching a payment yourself¶
Step 2. In Needs attention, click Match to invoice… on the payment.
Step 3. A picker opens listing your outstanding invoices, with each one's balance, due date and status. Search by invoice number or customer to narrow the list.
Step 4. Click Match next to the right invoice. The full amount received is applied to it.
Overpayments are blocked. If the payment is more than the invoice still owes, myaccountant won't match it — you'll see a message telling you the payment exceeds what the invoice owes. Double-check you've picked the right invoice.
What happens when you match¶
- A payment is recorded against the invoice and appears in its Payment History.
- The invoice becomes Paid — or Partially Paid if the payment doesn't cover the full balance.
- The bank transaction moves to the account's Categorised tab.
- If your Accounting Method is Cash (set via Settings on the Invoicing page), this is also the moment the money counts as income in your reports.
Undoing a match¶
- For a payment in Auto-matched recently, click Undo.
- For anything else, open the account's Categorised tab and Uncategorise the transaction. The payment is removed, the invoice goes back to being owed, and any income recognised from the match is reversed.
